AI for maintenance contractors: every due date under control, every renewal drafted in time

Maintenance contractors running service contracts and planned visits on boilers, air conditioning, lifts, fire systems or machinery have a different due date for every asset, and a custom AI tool can keep that schedule instead of a hand-kept calendar. AI per Aziende, an Italian studio, builds it on your rules: it tracks each asset, drafts customer reminders and renewal offers, and groups the month's visits by area; you approve before any message goes out. It all begins with a free intro call.

Where the day goes

  • Every asset has its own interval

Manufacturer schedules, contract terms and local regulations all set different service intervals. Multiply that by a few hundred customers and a hand-kept calendar stops working.

  • Contracts lapse without anyone noticing

An apartment block's annual contract ran out in March, but you still did the April visit. Without a reminder at the right moment you renew late, work uncovered or lose the customer to whoever called first.

  • Customer reminders go out when someone has time

Calling or messaging every customer to book a visit is long, repetitive work. As the season approaches, many reminders go out late and the bookings all arrive at once.

  • One building, four separate trips

Four customers in the same apartment block, visited in four different weeks because each due date was booked on its own. If planned visits aren't grouped by address and area, repeat trips eat the extra visits you could have fitted in.

What the AI actually does

A due-date schedule for every asset

For each asset we record type, key details, last visit and the applicable interval, whether it comes from the manufacturer, the contract or local rules. The tool works out the next due date and shows it before it arrives.

Example
On the first of the month the owner opens the list: around forty services due in the next two months, a handful of efficiency checks needing a report and a few assets with missing data to fix.

Customer reminders prepared in batches

For upcoming due dates the AI drafts the customer messages with a proposed date and instructions. You review them in one go, edit the unusual ones and confirm sending.

Example
On Monday morning you approve the batch of reminders for boilers due in November. One customer replies on WhatsApp that Tuesday doesn't work; the assistant offers Thursday and they accept.

Renewal offers before contracts expire

When a contract nears its end, the tool flags it and drafts a renewal offer with the current terms, ready to update if prices or services change.

Example
Forty-five days before a holiday complex's contract covering dozens of split units expires, you get the renewal draft with the unit list and current fee. You add an extra filter clean and send it to the property manager.

Weekly visits grouped by area

From confirmed visits the AI proposes each engineer's weekly calendar, putting services in the same area side by side. The service manager reviews and adjusts it.

Example
For the second week of November the tool suggests: Monday and Tuesday on the east side, Wednesday the two blocks in the centre, Thursday the industrial estate. The manager slots in an urgent call and confirms.

Asset history on hand

Each visit updates the asset's history with date, work done, parts and notes. The engineer checks it before going in, and the data is ready when service records have to be completed.

Example
Before servicing a boiler the engineer reads that last year's visit noted a partly blocked condensate drain. He brings the right part and records it in the new report.

How we get started

Three steps, and the first one is a no-strings conversation.

  1. 1

A free intro call on your due-date list

In thirty minutes online, show us how you track due dates and contracts today, whether that's software, a spreadsheet or a paper diary, and we find where renewals and visits slip.

  2. 2

A prototype on your customer list

We take an extract of your asset and contract list and build the schedule on it. You see the real due dates for the coming months before you decide anything.

  3. 3

    Live for a full season

You run reminders, renewals and routes on it day to day. We fine-tune it with you over the first weeks and keep maintaining it after that.

Why AI per Aziende

You approve every reminder and renewal

Customer messages, renewal offers go out only after your go-ahead. The AI prepares the pile of work; you decide what leaves.

Your rules, not a program's

Every maintenance firm has different contracts, intervals and customers. We build custom software, so the scheduling rules are yours.

We don't make up the regulations

Intervals and obligations depend on the asset and the country you work in. The tool applies the rules you set with us; it doesn't replace keeping up with regulations.

Frequently asked questions

How do you manage planned preventive maintenance schedules?

You need a list per asset, not per customer: asset type, date of the last visit, the interval to follow and the next due date. The interval can come from the manufacturer, the contract or local rules. A custom schedule works out the dates, warns you in advance and drafts customer messages, which you approve before they're sent.

What is the best software for maintenance contracts?

There are established tools for service contracts, planned visits and renewals, and many firms run well on them. A custom tool makes sense when your rules don't fit, when you want customer reminders handled over WhatsApp, or when you're on a spreadsheet and want to start without changing everything. On the intro call we tell you which route fits.

Can the AI send customer reminders by itself?

It can prepare all of them, but you approve the sending. You can review reminders in a batch, for example once a week: confirm the standard ones and edit the unusual ones. When a customer replies to move the appointment, the assistant offers the free dates you've set. You save the phone calls without losing control of what customers receive.

Can I start from the spreadsheet I use today?

Yes. We import the customers, assets and dates you already have, fill the gaps with you and build the schedule on top. You don't have to start over or retype hundreds of rows. If you already use maintenance software, we check on the call what it can export.

How do I stop service contracts from lapsing?

By getting the warning early enough to act. The tool flags each contract a set number of days before it ends, for example 45, and drafts the renewal offer with the current terms and asset list. You update prices or services if needed and send it. The customer hears from you before a competitor gets in touch.

How much does AI scheduling cost for a maintenance firm?

For a maintenance firm the cost depends on how many assets you look after and what you want automated: just due dates, or also reminders, contract renewals and engineer routes. There's no single price list because every firm has different rules. On the free intro call we look at your list and give you a clear price before work starts.
